General Admin Student Support Intern - Department Of Justice (Chicago, IL)

Who: Chicago Department of Justice

What: This is a temporary Pathways Internship Program appointment not-to-exceed one year from appointment and may be extended in 1-year increments based on program needs and if the student continues to meet program requirements. This position has conversion potential provided that all of the requirements for conversion have been met. This vacancy will close at 11:59 ET on the closing date or 11:59 on the day we receive the 100th application, whichever comes first.

As a General Admin Student Support Intern with the OIG, your duties will consist of, but not limited to:
  • Communication with complainants, instructing them on how to file a complaint, and referring them to the appropriate agency, as appropriate 
  • Receiving, reviewing and categorizing allegations and complaints received by mail, fax and email 
  • Developing skills in data collection and analysis; 
  • Locating and compiling data or information from records or databases; 
  • Producing a variety of written documents utilizing various advanced word processing software functions. 
  • Working from handwritten draft, editing copy, or electronic files created by another staff member; 
  • Opening and distributing mail; preparing, receiving, reviewing and verifying documents; 
  • Maintaining office records; filing material; locating and compiling data or information from files; 
  • Assisting with the formulation and development of reports; 
  • Interacting and communicating with other staff members in a professional manner; 
  • Working as a part of a team on various projects; 
  • Ability to communicate effectively; 
  • Completing assigned projects in a timely manner; 
  • Securing information from the files and related sources. 
  • Administrative Support to include property management, procurement research, transcription processing, and data call administration.
Requirements:
  • You must be a U.S. Citizen or National. 
  • You must pass a background investigation, credit check and drug testing. 
  • You must be registered for the Selective Service, if applicable. 
  • You must meet half-time student enrollment requirements.

  • You must qualification requirements by the closing date of the announcement. 
  • Your application package must support your answers to the occupational questionnaire. 
  • Interns can only work a maximum of 20 hours a week. 
  • You must complete and sign a Pathways Participant Agreement. 
  • You must maintain a GPA of 2.5 or better for the duration of this internship (failure to meet this requirement will result in immediate termination). 
  • You must submit a transcript or proof of admission with your application. 
  • You must meet all basic and minimum qualification requirements by the closing date of the announcement. We will review your application package to ensure you meet the job requirements. 
  • Your application package must support your answers to the occupational questionnaire. 
  • You must provide an UNOFFICIAL copy of your transcript/ or course listing with your application to verify enrollment as well as meeting GPA and grade requirements. 
  • You must complete and sign a Pathways Participant Agreement. 
  • You must provide the OIG Pathways Program Officer with a copy of your transcript verifying continuous enrollment, GPA and grade requirements (this is a requirement for each semester/quarter).
Qualifications: 
  • Must be at least 16 years of age. 
  • Must be enrolled or accepted for enrollment in a Technical or vocational school, 2-year or 4-year college or university, graduate or professional school, at a qualifying educational institution on a half-time or full-time basis. 
  • Must be in good academic standing with a cumulative GPA (grade point average) of 2.5 or better (must provide a transcript and proof of enrollment/acceptance letter); these standards will be in effect for the duration of the internship.
  • Must maintain enrollment/continue education throughout the duration of employment under the Pathways Program.
Minimum Qualifications: In addition to meeting the Basic Qualifications stated above, you must also meet the minimum qualifications for the appropriate grade level. To qualify for the GS-4 level, you must have at least one (1) full year of general experience; or have completed two (2) full academic years of post-high school study or an associate's degree; or a combination of both general experience and education. General experience is defined as progressively responsible clerical, office, or other work that indicates the ability to perform the duties of General Office and Administrative Support Intern. Examples of general experience include: filing materials in alphabetical or chronological order; operating a copier machine; collating and stapling materials; producing a variety of written documents utilizing various word processing software functions; securing information from files and related sources. To qualify for the GS-5 level, you must have at least, you must have at least one (1) full year of specialized experience; or have completed four (4) academic years of post-high school leading to a bachelor's degree or equivalent degree; or a combination of both specialized experience and education. Specialized experience is defined as progressively responsible clerical office support work that indicates the ability to perform the duties of a General Office and Administrative Support Intern. Examples of specialized experience include: reviewing documents for accuracy and completeness; typing and formatting correspondence and forms; obtaining information from files or general reference sources; taking messages and scheduling appointments; performing routine administrative functions.

Education: You must provide an UNOFFICIAL copy of your transcript or course listing with your application to verify enrollment as well as meeting GPA and grade requirements. Failure to provide a copy of your transcript or course listing will completely nullify your application. You must provide a copy of your transcript verifying enrollment, GPA and grade requirements each semester/quarter.
