Administrative Intern - Village of Skokie, IL

Position Title: Administrative Intern – Manager’s Office   

Salary Range: $19.89 - $26.03 per hour 

FLSA: Non-Exempt  

Department: Village Manager's Office  

Division/Unit: Administration  

Reports to: Assistant Village Manager

JOB PURPOSE  

Under general supervision, this position performs a variety of administrative and operational  tasks for the Village Manager's Office. Assists the Village Manager and Assistant Village  Manager with the administrative details of day-to-day activities, provides on-going support  services in designated areas and carries out special projects as assigned.  

ESSENTIAL JOB FUNCTIONS 

  • Provides assistance to the Assistant Village Manager and Management Analyst in the  creation of the Village’s $150 million budget.  
  • Acts as the Village Freedom of Information Act (FOIA) Officer. 
  • Support department staff in award and grant application development by gathering pertinent  background information.  
  • Serves as the Special Events Coordinator, working with various community groups.  
  • Research history and background on a wide array of municipal issues, performing  analytical and statistical research as necessary.  
  • Develop and design necessary surveys and questionnaires to gather relevant supporting  documentation on varied issues.  
  • Assists in creating press releases and various publications, including the quarterly Village NewSkokie print newsletter and weekly electronic newsletter, SkokieNews. Gathers  information on Village programs, services, and events to be included in Village publications.  
  • Assist with the Village’s social media presence and content development for the Village  YouTube page.  
  • Research new communication tools and strategies and implement as necessary.
  • Produces the monthly Village employee electronic newsletter.  
  • Serve as staff liaison and support to committees as assigned.  
  • Assists with the Village’s sustainability initiatives, including the development of the Village’s  next Sustainability Plan. 
  • Serves as Village Hall student tour coordinator.  
  • Assist other departments and perform special projects as assigned.  

OTHER RESPONSIBILITIES 

  • Deliver and pick up items and documents as necessary.  
  • Performs other tasks as assigned.  
  • Assists with special events as needed.  
  • Represent the Village at association and management organization meetings.  

KNOWLEDGE / SKILLS / ABILITIES 

  • The qualifications and job requirements identified for this position reflect a candidate with  the analytical and problem solving skills and communication ability normally gained with the  earning of a bachelor's degree.  
  • Technical knowledge required to perform and carry out the essential functions of the job is  gained after being on the job.  
  • The developmental cycle for effective job performance is set at four months.  

  

EDUCATION / TRAINING / EXPERIENCE  

  • Bachelor's degree and enrollment in public administration program or related field leading  to a Master's Degree.  
  • Knowledge of the concepts of public administration techniques in their application to local  government issues and should have a public service orientation.
  • Ability to assemble, organize and present in written form or as an oral summary, reports  derived from a variety of original and secondary sources.  
  • Ability to effectively interact and communicate with citizens and co-workers on a wide  variety of needs and issues.  
  • Working knowledge of personal computers with word processing, spreadsheet, and other  related software.

None  

PHYSICAL AND ENVIRONMENTAL CONDITIONS  

The work functions of this class of positions are more representative of "light work" with a  frequent exertion of 10 pounds of force and a combination of frequent walking and sedentary  activity, but a number activities require "medium work" exertion of 50 pounds of force, with  assistance. The work is regularly in an indoor environment, but meetings and field collection of  data will take the intern outside of the office.
